Confently for organisers

QR check-in for conference sessions

Help your room team connect the person at the door with the right session booking, then record who actually attended.

Connect session bookings with attendance at the door

A booking list tells you who reserved a place. Attendance tells you who arrived. Keeping those separate helps room teams make decisions on the day and gives organisers a clearer picture afterwards.

Confently includes a personal event pass that delegates can show on their phones. Organisers can scan its QR code from the event's check-in screen, look up the delegate's bookings and record attendance for the relevant session. Manual check-in is available when scanning is inconvenient.

Prepare your room team before delegates arrive

Give the people managing the doors the organiser access they need and test the check-in workflow on the devices they will use. Check camera permission, lighting and network access in the actual rooms where possible.

Brief the team on the difference between a confirmed place, a waitlisted request and an attendance record. A QR pass identifies a delegate; it is not a promise of a seat in every session. Always check the booking for the session at that door.

Let delegates carry a pass without relying on venue Wi-Fi

From My schedule, a delegate can choose Save for offline to keep their sessions, rooms and QR pass on a trusted device. They can reopen that saved copy when their connection drops. The copy displays its save time and remains available offline for seven days.

Offline saving is for the delegate's reference. It does not reserve additional places or update after a booking changes. Organisers need an internet connection to check current bookings and submit attendance. Ask delegates to save again after changing their schedule.

Keep a practical fallback

Prepare printable room sheets using the organiser guide before the event. A printed list can help the team find people when a screen or camera is awkward to use, but it may be out of date after cancellations or promotions.

Agree how your team will handle unexpected arrivals, full rooms and missing passes. If you need to help someone at the desk, use the delegate search and booking tools rather than treating a screenshot as the final booking record.

Learn from attendance afterwards

Compare bookings with recorded attendance to see where reserved seats went unused. Confently's analytics include attendance and no-show information alongside session demand and feedback. Use those observations to ask better questions: was the room hard to find, did a session move, or were delegates holding places they no longer needed?

Read the no-show guide for a plan that combines clear instructions, straightforward cancellation and useful attendance records.

Frequently asked questions

Can a delegate show their pass offline?

Yes, after saving their schedule and QR pass while connected. The saved copy shows when it was saved and is available offline for seven days.

Can organisers record check-in offline?

No. Organisers need an internet connection to check current bookings and submit attendance. The offline feature is a saved delegate schedule and pass.

Can I check someone in without scanning?

Yes. The organiser check-in tools support manual check-in. You can also prepare printable room sheets as a reference.
