Confently for organisers

Session booking for charity and community conferences

Give delegates clear session choices and your organising team a practical view of bookings, with a free community access route for eligible events.

Spend less time reconciling session choices

Charity conferences and community events often combine a small organising team with a busy programme. Delegates still need clear choices, realistic room capacities and a way to change their plans without sending another email to a volunteer.

Confently helps organisers manage the session-booking part of the event: a mobile agenda, confirmed places, waitlists, clash warnings and a dashboard of demand. It can sit alongside the ticketing platform, form or spreadsheet you already use to register attendees.

Request free community access

Charities and community organisers can request free community access from an event's Billing page. Explain who the event is for and why it is a community or non-commercial event, check the contact address, and submit the request.

Requests are reviewed manually. Free access is subject to approval; creating an account or describing an organisation as a charity does not automatically publish an event. Wait for the decision, then check the event's Billing page before going live. The plans and community access page explains the difference between this route and paid plans.

Build a programme your volunteers can run

Start with the sessions that need reservations, such as workshops or small-group discussions. Set room capacities carefully and mark items for everyone, including breaks or plenaries, as not bookable. Delegates then spend their time choosing between meaningful options rather than reserving lunch.

Co-organisers can help manage the event. Use the dashboard to find delegates, adjust bookings when someone needs assistance, export records and print room sheets. Before the doors open, agree which team member will handle room changes and delegate questions.

Give delegates a clear route from registration to booking

If the event should be limited to registered attendees, use attendee-list access and add the email addresses from your registration records. Explain that people need to sign in with that same address. This is especially useful when a central organisation books tickets for several colleagues: make sure you have the delegates' own addresses, rather than only the purchaser's.

Tell people how to cancel places they no longer need, what a waitlist means and where to find My schedule. Offer a contact address for anyone who needs help booking; software should support your event team rather than become the only way to ask a question.

Start with a manageable event plan

You do not need to build everything at once. Prepare rooms and time slots, add a few sessions, and test the delegate journey before sharing the link widely. Keep your registration process in place and use Confently for the session choices it is designed to handle.

Follow the organiser setup guide or work through the conference session planning checklist with your team.

Frequently asked questions

Is free community access automatic?

No. Request it from the event Billing page, explain the event and wait for a manual decision. Free access is subject to approval.

Can volunteers help manage the event?

Yes. Organisers can invite co-organisers to help manage bookings and run the event. Brief the team on the tools and responsibilities they will use.

Do we need to change our registration process?

No. Keep your existing registration process and use Confently for session booking. Attendee-list access can limit booking to the email addresses you supply.
